I keep books for people I have never met in person

I am in High Springs, Florida. A good number of my clients are not, and it has not once been a problem.

Remote does not mean less. It means your statements arrive through a portal instead of across a desk, and we talk on video instead of in my kitchen. Everything else is the same work, done the same way, on the same schedule.

What we use

  • QuickBooks Online

    Your books live there, in your own account, in your name. I have access as your bookkeeper. If we ever stop working together you keep everything, because it was always yours. No proprietary system you would have to escape from.

  • A secure document portal

    Statements, receipts, prior returns, and signed forms go through it. Not email attachments. Not text messages with a photo of a 1099. The portal keeps the copy and the date, which matters later.

  • Video calls

    Scheduled, short, and only when there is something worth looking at together. I share my screen and walk you through your own numbers. Most clients want one a month. Some want one a quarter.

  • The telephone

    Still the fastest thing ever invented. 386-344-7113. You get me, not a queue.


What a month looks like

Here is the honest rhythm of it, so you know what you are signing up for.

Early in the month your bank feeds bring in the prior month. I work through it: categorize, reconcile, chase anything that does not tie. If I find something I do not understand, I ask you one batch of questions, not eleven separate emails. That is usually the only thing I need from you all month, and it usually takes you fifteen minutes.

By the middle of the month your profit and loss statement and balance sheet are in the portal, with a short note from me about what moved and what looked strange. You read it or you do not. It is there either way.

Around quarter end there is a little more: estimates, payroll returns, sales tax if you collect it. I tell you what is due and when, in advance, and I file it.

Then in the spring your return gets prepared from books that have been right all year. That is the whole point of the other eleven months.

What I need from you, and when

  • At the start

    Read only access to your bank and card feeds, your prior year return, and whatever books already exist, even if they are a mess. Especially if they are a mess.

  • Once a month

    Answers to one short list of questions, and any receipt or document I could not get from the feed. Fifteen minutes, most months.

  • When something changes

    A message when you hire somebody, buy equipment, open an account, or change what your business does. Before, if you can. That one message saves the most money of anything on this page.

  • In January and February

    The forms that arrive in your mail, uploaded as they come rather than all at once in April.

Where I can work

Anywhere in the United States. Bookkeeping and payroll travel fine. On the tax side, state rules vary and some situations need somebody who practices in your own state; if yours is one of those, I will say so on the first call rather than take the work and find out later.
